1. Who we are
Ice Journey is an online platform that helps skaters, parents and coaches manage lessons, practice, goals, homework, competitions and progress. For privacy enquiries, contact support@icejourney.co.uk.
2. Information we collect
We may collect account and contact details, profile information, parent or guardian links, coaching and booking information, payment and subscription records, communications, emergency contacts, safeguarding and compliance information, device and security data, and information you choose to add to the platform.
We do not ask users to place unnecessary special-category information in free-text fields. Where safeguarding, health or accessibility information is needed, access should be limited to those who genuinely need it.
3. How and why we use information
We use personal information to create and secure accounts; provide bookings, coaching, practice and competition features; connect authorised coaches, skaters and parents; process payments; provide support; prevent misuse; meet legal and safeguarding duties; and improve the service.
Our lawful bases may include performance of a contract, legitimate interests, legal obligation, vital interests and consent, depending on the activity.
4. Children and linked accounts
Under-18 skaters should use the service through an appropriate parent, guardian or authorised coach workflow. The registering adult must confirm parental responsibility or lawful authority and consent to the child profile being processed. Adults must not create unauthorised profiles for children or disclose children’s information outside the permissions and safeguarding arrangements of the platform.
5. Sharing information
We may share information with authorised users connected to an account, payment and hosting providers, communications and support suppliers, professional advisers, regulators, law enforcement or safeguarding authorities where lawful and necessary. We do not sell personal information.
6. International transfers
Some service providers may process information outside the UK. Where this happens, we use an approved transfer mechanism and appropriate safeguards where required.
7. Retention and security
Emergency and medical details are encrypted at rest and disclosed only to the skater, authorised guardians and specifically permitted linked coaches. Access is logged. We keep information only for as long as needed for the purposes described, legal or accounting obligations, dispute handling and safeguarding. We use access controls, authentication, monitoring, backups and other proportionate safeguards, but no online service can guarantee absolute security.
8. Your rights
Account holders can request a machine-readable data export and account deletion from the app. Deletion is normally delayed for 30 days so it can be cancelled and so legal, payment or safeguarding records can be retained where required. Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing, request portability, and withdraw consent. You may complain to the Information Commissioner’s Office. Contact support@icejourney.co.uk first so we can try to resolve your concern.
9. Changes
We may update this policy as the platform or law changes. Material changes will be communicated where appropriate.
